Digitize contracts with a forms solution

And why document generation, electronic signatures, scanning, document management and archiving systems should not be handled separately from each other but with a forms solution

Valeria Di Dato

What elements does a contract document contain?

If you think about what elements a contract contains, you come to the following conclusion:

1. structured contract data
A contract contains important structured data such as:

  • Personal and contact information
  • Financial data
  • Health information
  • Selection of products and services
  • etc.

2. Semi-structured contract information
The contract document contains many other important semi-structured information such as:

  • Contract data
  • Legal disclosures
  • Product or service details
  • Conditions
  • Terms and conditions
  • etc.

3. Contract signature(s)
The contract document is signed by one or more persons of the contracting parties.

Customer perspective: Simply conclude contracts online

Customers don't want to waste time when they need a product or service. They also expect contracts to be easily concluded online via the channels of their choice (website, customer portal, app). This requires that all the elements described above be packaged into an easy-to-use "customer experience":

  1. from customer-oriented, intelligently managed data collection,
  2. for direct review of the contract document generated in real time,
  3. through to the signature process of all contracting parties

Customer service perspective: online contract conclusion with consultation

Customer advisors want to prepare the contracts as a draft with little effort and then go through them online with the customer during the consultation. Customers should be able to enter their adjustments and decisions regarding product or service selection directly online, check the final contract document immediately, and sign it either immediately or at a later date.

Company Perspective: strategic digitization initiative

In addition to achieving the highest possible closing rate, companies also want to increase efficiencies, reduce costs, shorten lead times and increase customer satisfaction. This can be achieved with the "front to back" digitization of contracts using a central forms solution:

  • Automation: the online form validates the structured form data and ensures data consistency. Time-consuming exception processes in processing (scanning, processing) are thus massively minimized.
  • Standardization: central modules for forms and documents encapsulate complexity and can be reused hundreds of times. This minimizes the time required to create and maintain form processes.
  • Omni-channel: Customers can easily and quickly sign new contracts for products and services at any time on their desired channel (website, customer advisor, customer portal, app, print). The positive experience is remembered and the brand is strengthened.
  • Integration: the form data and contracts are automatically transferred to the corresponding target systems after completion. The company's own employees can thus continue to work with the familiar internal specialist systems and processes.

With our well-founded and field-tested concept, we provide the solution path for how electronic signatures, form management, document generation and output management can be digitalized holistically with one solution approach.
